Send a team of five to a conference for three days and you'll come home with a real problem: dozens of scattered conversations, contacts saved across different reps' phones, and no clean way to answer the one question that actually matters — did this event pay for itself? Without a system built for it, that answer usually comes from someone manually asking each rep how it went and guessing at the rest.
Cardlyx's Events feature is built specifically to answer that question automatically, without turning your team into part-time data entry clerks for a week after the show ends.
How it works
An Events feature lives on the Business plan and does one job well: it groups all the contacts, scans, and leads generated at a specific conference or trade show under that single event, purely for reporting — it's not a registration or check-in tool.
- Create the event with a name, location, and date range.
- Choose Draft or Scheduled. Draft means the event never auto-activates — you control exactly when it starts. Scheduled means it automatically transitions from Scheduled → Active → Completed based on the date range you set.
- Assign team members and their cards to the event. A rep can only be an open participant in one non-completed event at a time, which keeps attribution clean if your team is juggling multiple events across a season.
- Everything attributes automatically. Every view, scan, lead, and download from an assigned card during the event's live window gets tied to that event — no manual tagging, no one going back afterward to sort which contact came from which show.
What you actually see afterward
Each event gets its own Insights dashboard: views and leads over time, a device breakdown, top locations, referrer breakdown, and — probably the most useful part for a manager — a per-member performance table showing views, leads, scans, downloads, and conversion rate for each rep who worked the event. That last piece turns "how did the conference go" from a vague debrief into an actual number you can compare rep to rep, or event to event.
You'll also get automatic notifications when an event starts and ends, so nobody on the team has to remember to flip a switch on day one of the show.
Clean data, by design
If you delete an event or remove a participant, everything tied to it — contacts, activity, all of it — gets cleanly deleted too. No orphaned leads sitting in your account from an event you're no longer tracking.
Why this matters more than it sounds like
Most digital business card platforms treat "the event" as an afterthought — you scan contacts, and it's on you to remember which show each one came from, usually by cross-referencing dates in your CRM after the fact. Some competitors handle this by charging per scanned or enriched lead once you're running events at volume, which adds real cost on top of your seat fees the busier your conference season gets. Cardlyx's Events feature is included as part of the Business plan — no per-lead charges stacking on top of your flat team pricing, no matter how many people walk up to your booth.
If your team runs even two or three events a year, the difference between "we think it went well" and "here's exactly which rep generated the most qualified leads, and from which channel" is the entire point of tracking this in the first place.
Try Cardlyx Business and bring your next conference or trade show under one dashboard.
